Product overview

The product overview in the scango.ch dashboard offers you an effective way to manage your products and obtain important information for your store.

Filter options

You can filter the displayed products according to various criteria to quickly find the information relevant to you. The available filter options are:

  • Search products: Enter a search term or the barcode to find products by name or code.
  • Select supplier: Select a supplier to display only products from that supplier.
  • Select category: Select a category to display only products in that category.

Add product

To add a new product to your dashboard, click on the "Add product" button. You will then be redirected to a form where you can enter the required information.

Bulk export product data (via 3-dot menu)

If you want to export the product data for further analysis, mass mutation or inventory, you can do this by exporting the product list as a .csv file via the 3-dot menu. The filtered products are then downloaded in a CSV file, which you can then open and edit.

Please note: if you then want to upload the list again as a bulk import, you must not delete column A "Product ID". This information is used to assign the existing article data. You can only export the basic product data, e.g. image and sound data and date-dependent offer prices are not included.

Bulk import product data (via 3-point menu)

Import a list of your existing products previously obtained via the bulk export or a new product list as an .xlsx or .csv file via the 3-dot menu. We recommend that you use the following template for lists of new products.

https://docs.google.com/spreadsheets/d/1GG6dHV5YVBZhGZGSmsElMEwjd-ASAnZsvF7_5KH8fE8/copy

You can also re-import only part of the exported products or list. Products that have not been imported remain unchanged in the system. When importing new products, the existing products also remain unchanged.

Please note: you must create new suppliers or categories before importing the products so that they can be assigned correctly. You can only import the basic product data, e.g. image and sound data as well as date-dependent offer prices are not possible in the bulk import.

To do this, click on "Start import":

  1. Upload file: Select the relevant file and click on continue
  2. Select header: The top line is automatically selected. If necessary, select the correct header from your list. Click on Next.
  3. Assign columns: If required, assign the headers of your list to the fields in scango.ch and, if necessary, assign individual values to the existing field values. Click on Next.
  4. Validate data: The data is now displayed again in the overview. Missing values are highlighted in orange, unassigned values or columns are highlighted in red. You can also display only all "rows with errors" here and correct them directly in the overview. Finally, click on Import data.

Product list

The product list shows the following information for each product:

  • Name: The name of the product.
  • Category: The category to which the product belongs.
  • Supplier: The supplier of the product.
  • Price: The price of the product.

Adding and editing products

Adding products to the scango.ch dashboard is an important step in managing your products and providing your customers with an optimal shopping experience. Once you have added and created a product, you can edit it in the same screen. The following explanations apply to both:

Product information

Enter the following information for the new product:

  • Name: The name of the product (e.g. Schlorzifladen).
  • Description: A description of the product for internal purposes (not shown to the customer).
  • Product declarations: Indication of ingredients and allergens. This information is displayed to the customer at the checkout via the information field (i) after the product has been scanned or selected.
  • Barcode unit price: The barcode or EAN of the product (e.g. 7610491922046). The checkout can also read QR code values. The QR code data can be stored in this field. If you do not enter a code when entering new products, our system automatically generates a sequence of letters and numbers that is assigned to the product. It is displayed in the Barcode field. This value is also output as a graphic QR code, which can be downloaded directly from the product.

    Note on third-party QR codes:

Some retail products include additional QR codes on the standard packaging alongside the EAN barcode (e.g. for product information or marketing content). The checkout scanner may also detect these QR codes and notify the customer to scan the correct barcode instead.

If such QR codes are placed very close to the EAN barcode, we recommend registering the QR code value as the same product in the system as well. This helps reduce incorrect scans and ensures a smoother checkout experience.

  • Barcode – Price encoded by weight: For pre-packaged products with variable weight (e.g. pieces of cheese), enter the first 7 base digits (product identification) of the barcode, followed by 6xP. Example: 7610491PPPPPP The P serves as a placeholder for the individual price, which is encoded in the barcode by the packaging supplier or by yourself (weight-dependent). The barcode is used in the Kiosk to identify the product during scanning. Variable barcode logic: Barcode ending with PPPPPP = the price is read directly from the scanned barcode (5 digits in cents, e.g. 2200000PPPPPP → Scan 2200000001250 = CHF 12.50)
  • Barcode – Weight encoded as quantity: If the barcode contains the weight, enter the first 7 base digits (product identification) followed by 6xG. Barcode ending with GGGGGG = weight in grams for weight-based price calculation (e.g. 2200000GGGGGG → Scan 2200000001500 = 1.5 kg) In this case, for weighed products, the price per kg must be stored so that the checkout can correctly calculate the final price based on the weight.
  • Price: The price of the product incl. VAT in CHF.
  • Deposit label: Designation for the deposit shown on the price tag (e.g., “Bottle deposit”, “Crate deposit”). This value can be customized individually and is used within the Price Tags module.
  • VAT: The VAT category for the product.
  • Deposit: The deposit for the product in CHF (e.g. CHF 0.30 for a 30 centime deposit) if it is a returnable container.
  • Upload image: Select an image of the product to upload from your individual storage location.
  • Sound on product scan - select file: Upload her an mp3 file if you want this sound to be played when the product is scanned in addition to the usual beep. Please also enable sound output at the branch level under Settings > Organization > Stores > Sounds.
  • Index: Here you can define an order for products that are displayed in the manual selection: numerically ascending (1 = is displayed first on the screen). If you leave this field blank, the products are sorted in ascending alphabetical order.

Supplier and category

Select the supplier and category for the product from the drop-down menus:

  • Select supplier: Select the supplier of the product.
  • Select category: Select the category to which the product belongs.

Additional settings

Select the desired additional settings for the product:

  • Block sale in stores: Select the stores in which the product should not be available for sale
  • Allow sale only in stores: Selection of the selected stores in which the product should be exclusively available for sale
  • Show product in manual selection: Displays the product in the manual selection for the customer on the screen. Restricting the sale of products in individual stores can be useful, for example, if the individual stores have different suppliers of the same products (bread, coffee, ...).
  • Show product on homescreen: Displays the product on the home screen. This function is currently not yet available (but already planned).
  • Product is age restricted: Adds an age restriction for the product. The age restriction function is available on request and is not stored in the standard system.
  • Product with variable price: automatically calls up a price entry window when selected at the checkout: Customer enters the individual price themselves.
  • Show product on scale: Displays the product on the scale.
  • The product cannot be purchased: Prevents the product from being purchased.

Sale

Here you can enter a (temporary) special offer price (promotion). At the end of the period you have defined, the product will be sold again at the normal price:

Enter the offer information for the product, if applicable:

  • Sale price: The offer price of the product (in CHF).
  • Sale percentage: The discount percentage of the product, as an alternative to the fixed offer price.
  • Sale price from: The start date of the offer price.
  • Sale price to: The end date of the offer price.

Purchase

Enter the purchase information for the product. The following values are to be understood alternatively , either you enter an absolute value (cost price: CHF 0.70) or your percentage margin on the sales price (e.g. 30% of the price CHF 1.00):

  • Cost price: The cost price of the product (in CHF).
  • Margin: The profit margin of the product (in percent).

Create product

Click on "Create product" to add the new product to the dashboard. If you want to cancel the process, click on "Back". After saving or creating for the first time, any changes you make to the product are automatically saved. The button is then no longer available.

Back-deposit products

An automatic deposit (separate field) can be stored for each product. This is displayed to the customer when purchasing and is part of the shopping basket.

Enter product return deposit

If a customer wants to return empty containers with a deposit, we recommend that you create one or more "return deposit products". You can enter these products identically to normal products. Please note the following points:

  • Enter the "Price" field (deposit amount per container) in CHF with a minus sign.
  • Remember to set the VAT to "exempt from VAT"
  • Display the product in the manual selection for customers.
  • We recommend that you also create a separate category for the returnable depot products, which is displayed in the manual selection: this allows customers to find the returnable depot products more quickly.
